Setting up your incoming call display and announcement settings
In the Admin Portal, you can select what information is displayed and whether an announcement plays when receiving incoming calls. You can also decide whether your settings apply to your RingCentral phones, non-RingCentral phones such as personal and mobile phones, or both.
- Go to theAdmin Portaland sign in. If you’re an admin, clickAdmin Portal > My Extensionin the top right.
- SelectSettingsin the top menu.
- Go toCall Handling.
- SelectSettings, thenEditunderIncoming call information.
- To select what you’ll see when an incoming call rings on your apps and phones, click theIncoming Number Displayed to Medropdown in theDisplay Numbertab.
- Incoming Caller ID: Shows the caller's phone number. Check the box under the dropdown to display your main RingCentral number if the caller is unknown or blocked.
- Add Special Number: CheckEnableto add a special number to the beginning or end of an incoming caller ID to help you identify the reason for a call. Note: Some carriers don't support the ability to see a special number. Make sure you test this with the phone that will receive calls.
- Select special number position: Using the dropdown, choose where to add the number.
- Number: Enter the number.
- Display This Call Information on: Select the phones where you want your settings to apply.
- SelectNon-RingCentral phones onlyto see the selected call information only on your non-RingCentral phones, such as personal and mobile phones.
- SelectAll phonesto see the selected call information on all your apps and phones that receive calls.
- Add Special Number: CheckEnableto add a special number to the beginning or end of an incoming caller ID to help you identify the reason for a call. Note: Some carriers don't support the ability to see a special number. Make sure you test this with the phone that will receive calls.
- Called Number: Displays the phone number the caller dialed, allowing you to see if a call is personal or forwarded from your RingCentral account.
- Incoming Caller ID: Shows the caller's phone number. Check the box under the dropdown to display your main RingCentral number if the caller is unknown or blocked.
- Click thePlay Announcementtab and select whether you want to hear an announcement when someone calls. With an announcement, you can identify whether you’re receiving a business or personal call.
- Direct Calls: Select an option:
- For non-RingCentral phones only: An announcement will play only on your non-RingCentral phones, such as personal and mobile phones.
- Always: An announcement will play on all your apps and phones.
- Never: Never plays an announcement. Note: Select this option if calls are forwarded to an answering service.
- Call Queue Calls: This applies if you're a member of a call queue. Select an option:
- For non-RingCentral phones only: An announcement will play only on your non-RingCentral phones, such as personal and mobile phones.
- Always: An announcement will play on all your apps and phones.
- Direct Calls: Select an option:
- CheckInclude mailbox name in announcementto include the name of the extension dialed.
- CheckRequire my pin to answerif you want to require a PIN to accept a call.
- ClickSave.
